Understanding coffee machine capacity: choosing the right machine for your business

  • April 22, 2026
  • Machines, Products

When choosing a coffee machine, it can be tempting to focus primarily on price.

For many businesses, the natural instinct is to reduce upfront costs and choose a smaller or cheaper machine. At first glance, this seems like a sensible decision.

But in practice, choosing equipment that cannot handle your operational capacity often ends up being more expensive in the long run.

Coffee machines are designed around specific usage levels. Understanding how much coffee your business actually needs to produce is one of the most important factors in choosing the right equipment.

What “Capacity” Really Means

When manufacturers talk about coffee machine capacity, it is often expressed in cups per day.

However, this simplified number hides a more technical reality.

In practice, machine capacity is determined by several factors including:

  • how many millilitres of water can be delivered at stable brewing pressure
  • how much steam power is available for milk texturing
  • how quickly the system can recover between drinks
  • how many drinks can realistically be produced during peak service

These technical limits determine how well a machine performs under pressure.

A machine may technically be able to produce a certain number of drinks per day, but the real question is whether it can deliver those drinks during your busiest periods.

Why “Per Day” Doesn’t Tell the Whole Story

Coffee machine capacity figures are often quoted as drinks per day, but the way demand is spread across the day varies dramatically depending on the business.

For example:

A busy café might serve coffee steadily throughout the day.

A hotel breakfast buffet might produce the majority of its coffee within just two or three hours in the morning.

A restaurant may only see coffee demand at the end of lunch and dinner services.

In these cases, the key metric is not just total daily capacity but peak hourly capacity.

Understanding how demand concentrates during service windows is critical when choosing the right machine.

Staff Availability Also Affects Capacity

Capacity is not just about equipment.

It is also about people.

For example:

  • how many staff members are operating the machine
  • how experienced those staff members are
  • whether they are making coffee exclusively or multitasking with food preparation

If only one person is responsible for coffee during busy periods, the maximum drink output will be limited regardless of how powerful the machine is.

Similarly, if a key team member is absent, your real capacity may immediately drop.

These operational realities are just as important as the machine’s technical specifications.

Why Plumbing Matters

Another factor that can affect capacity is water supply.

Some smaller coffee machines rely on internal water tanks rather than being connected directly to the mains water supply.

While this setup can be convenient for temporary environments or pop-up events, it introduces a major limitation.

Once the water tank runs out, someone must stop service to refill it.

For most hospitality environments, we strongly recommend plumbed-in machines that connect directly to the water supply. This ensures continuous operation and prevents interruptions during busy periods.

Other Factors That Affect Capacity

Several other elements can influence how many drinks a machine can realistically produce.

Milk Texturing

Milk-based drinks dominate many coffee menus.

Manual milk steaming requires time and skill, while automated milk systems can increase speed and consistency.

The choice between manual and automated milk preparation can significantly impact drink output during peak service.

Grinder Performance

The speed and consistency of the grinder can also limit drink production.

If the grinder cannot keep up with demand, it becomes a bottleneck in the workflow.

Machine Recovery Time

Every espresso machine requires time to recover between shots.

Higher-end machines are designed with larger boilers and stronger heating systems to maintain temperature stability even during heavy use.

Lower-capacity machines may struggle when pushed beyond their intended workload.

Planning Capacity Before Choosing Equipment

One of the most important steps in building a coffee programme is thinking about capacity before selecting equipment.

When we work with customers, we typically look at:

  • how many drinks are served per day
  • when peak demand occurs
  • how many staff are involved in coffee service
  • what the workflow looks like behind the bar
  • whether the business expects future growth

Understanding these factors allows us to recommend equipment that supports both current demand and potential expansion.

Water Filtration: An Overlooked Capacity Factor

Another critical factor in machine performance is water filtration.

Water contains minerals such as calcium and magnesium. When heated inside a coffee machine, these minerals can form limescale deposits.

Scale buildup can:

  • reduce heating efficiency
  • damage internal components
  • restrict water flow
  • cause costly breakdowns

Using the correct filtration system helps protect the machine and extend its lifespan.

Different filters have different capacities, meaning they can process a certain amount of water before needing replacement.

Selecting the right filter for your machine and usage level is essential for maintaining reliable performance.

Monitoring Usage With Modern Technology

Modern coffee machines increasingly include technology that tracks usage patterns.

Both traditional espresso machines and automated systems can now monitor data such as:

  • drink counts
  • water consumption
  • cleaning cycles
  • system performance

This data allows service teams to respond more proactively.

For example, if usage levels increase, we can recommend earlier filter replacements or maintenance schedules before issues arise.

Capacity Planning Saves Money

Ultimately, choosing the right machine is not about buying the cheapest option.

It is about investing in equipment that supports your business reliably.

Machines that are undersized for the environment often lead to:

  • slower service
  • frustrated staff
  • inconsistent drinks
  • increased maintenance costs

Planning capacity properly helps avoid these problems.
